Title: Hub Administrator - Northeast
Role: Position Summary:
Oversees the daily inside sales and marketing activities of the Hub Sales Office, proactively managing staff to provide exceptional customer service to end users and distributors as well as providing support to account executives, area managers, and Regional Sales Manager (RSM).

• Associate’s Degree plus five (5) to seven (7) years administrative/office management experience or inside sales experience or equivalent combination of education and experience.
• Demonstrated computer proficiency in spreadsheet, word processing, presentation and graphics, PDF, and electronic mail applications.
• Proficiency in social media and CRM.
• Competent in the area of business writing.

Responsibilities: Essential Functions/Responsibilities: (other duties may be assigned)
• Reviews, edits, processes, and executes incoming orders after verifying that pricing, minimums and commission allocations are correct.
• Helps support and coordinate the internal/external use of Salesforce CRM tool with Sales team. This includes quoting, marketing/email blasts, customer database entry and manipulation.
• Answers telephone calls, E-Mails and fax requests to provide information on product availability, pricing, order status and product specifications. Facilitates the gathering of information for special price quotes (SPQ) per customer specifications.
• Provides support to outside sales staff and distributors which includes having technical knowledge of product sizing and selection; drafting proposals; assisting with technical inquiries; and helping the sales staff with project orders and quotes. Prepares and coordinates quotations utilizing the current quotation system.
• Coordinates the flow of orders with Corp SSI in SC - expedite orders and reports delivery/availability status to customers.
• Processes Return Material Authorizations (RMAs) for returned material and assists field sales with Field Service Report (FSR) preparation for warranty claims.
• Manages and coordinates pertinent details of contractor jobs -- ensuring order accuracy, proper order flow, and promised delivery commitments on complicated and/or critical orders are kept.
• Gathers all logistic details and information required to set up New Accounts; updates appropriate systems with new account information.
• Updates and maintains information in the Customer Relations Management (CRM) database.
• Assists RSM with various monthly and quarterly reports and information requests.
• Coordinates renewal of Special Price Agreements – liaises with account executive, area manager, and RSM to determine competitive pricing.
• Works with Capital Construction Database Tools to uncover and track large capital projects and provide leads and updates to field sales team.
• Reviews and reconciles Purchasing Card activity. Reconciles the petty cash account.
• Monitors inventory requirements ensuring Hub and salespersons have adequate literature, product manuals, etc.
• Assists Credit Manager with problem accounts regarding deductions and past-due invoices.
• Serves as the contact for outside vendors for the Hub. Reviews Lease Agreements for office equipment, i.e., Copier, Fax, and Postage Machine as well as service agreements for maintenance of the Hub office to ensure that the most favorable pricing and service is provided.
• Attends training classes to increase product knowledge.
• May transport clients and/or company employees to and from the airport and attend luncheons/social gatherings, as required. Participates in marketing activities such as trade shows, as requested.
• Develops and proposes methods for improved office function.
